The Executive Secretary supports the General Manager with the organisation of timely schedule and maintaining efficient daily administrative activities.
Responsibilities
- Routes all incoming and outgoing communications as well as correspondences related to the general administration. Handles day-to-day correspondences on behalf of the General Manager where applicable.
- Prepares minutes, reports, letters, memorandums, email ete as assigned by the General Manager whilst ensuring the highest of confidentiality at all times.
- Coordinates and monitors all appointments, meetings, and trainings to ensure that schedules are logged, traced and updated whilst keeping all concerned reminded.
- Handles all guest and internal customer feedback and inquiries in a courteous and efficient manner with constant follow-up to ensure satisfactory outcome. Manages and handles feedback and reviews received through various platforms available.
- Works closely with other leaders and associates in a collaborative manner, focusing on the overall success of the hotel and the satisfaction of hotel guests
Requirements
- College diploma or above
- strong organisational and administrative skills with high level of flexibility and adaptability
- Excellent knowledge and hands on competence in word processor, spreadsheet and presentation software
- Strong English language proficiency with good interpersonal skillf
- At least 3 years of experience in similar capacity preferably in hotel environment
- Must have the right to work in Malaysia
